09/30 Cut-off – Reminder for those involved with fundraising planning

In the last newsletter, we announced a 9/30 cut-off date for changes to DAC. We need to minimize changes to DAC and other data as we get closer to Go Live. Introducing too many changes too close to Go Live jeopardizes our success.

If you are planning a new initiative or campaign, such as a new matching gift program, you may need to check-in with the DART project team. New campaigns or stewardship initiatives that need to be tracked in DAC using new fields or codes could have an impact on our data conversion processes.

Here’s a reminder on the kinds of changes we will limit after 09/30:
After 9/30/11, we will limit data structure changes to DAC or Data Warehouse, which could have an impact on our data conversion processes. The limitation includes:

Data types/codes : new tables, values, or fields
Example: Recently, a new relationship type for Med Development, called MED Primary Contact was proposed for DAC. It doesn’t currently exist in DAC/EIS and must be created, in order to clearly define the UMHS gift officer leading developing strategies for prospects with multiple medical interests.
Example: Over time, in DAC, the alumni activities fields have become a complicated catch-all. The data conversion team has been trying to map each kind of data within alumni activities to a new location in DART (e.g. memberships, affiliations, interactions, etc.). However, we must end this work to focus on the final data conversion and testing to make sure that all fields are mapped properly.

Data imports: New mass imports of data into DAC will be limited or stopped. (This does not include data imports that are already scheduled as a part of routine business activities)
Example: Data clean-up by OUD Data Services team. Importing changes to relationship statuses (e.g. spouse, daughter, etc.) en masse
Example: Data imports as a result of integrating supplemental and shadow systems

Any data structure changes after 09/30/11 will be subject to approval by the DART Project Management Core Team and dependent on its impact to the DART data conversion processes.

Routine business activities will continue up to Go Live:
The following are examples. Email dart-project@umich.edu if you have a question about whether something is considered “business as usual”.
—Assigning manager to a prospect
—Regular gift processing
—All usual manual updates sent through Dev Services for constituents
—New Grads data load in January 2012
—New allocations, solicitation codes, mail codes
—NCOA – National change of address updates
—Planned gift entry
—All regular reporting
—Data list requests (pulling lists for mailings)

Volunteer Commitments Through Go Live

We are charging ahead with the new Donor and Alumni Relationship Tool (DART) after a very busy and successful year of close collaboration across campus. Our current Go Live target is March 26, 2012 – when we expect everyone will use the new system. There is still much work to do as we shift from designing the system to meet U-M needs toward testing and training.

Estimated commitments

We need some volunteer staff from schools, colleges and units to continue working on the project through Go Live. Below are some estimates to help gauge how much staff time the project anticipates needing through March 2012. Please note, these estimates do not include time for training. The amount of time staff need for training will vary depending on the kind of work they need to do in DART. More information and estimates will be communicated through Unit Liaisons this fall.

Selecting volunteers

In August, the project team will approach select individuals to continue on the project through March 2012. These individuals will be involved with some of the following activities:
—Working on tasks related to moving DAC data into DART (e.g. determining new fields needed, populating drop-down lists)
—System Testing
—Reviewing and outlining best practices for business and the use of DART
—Reviewing training materials, critiquing system demonstrations, providing details and information
—Reviewing reporting features and functions, providing feedback

Some of the people selected may currently serve on project teams, while some new individuals may be selected for their deep business or technical expertise. We hope you will be able to support their participation through Go Live.

DART Road Show - Get a glimpse of how DART works!

Curious about the new Donor Alumni Relationship Tool (DART)? Register for a DART Road Show session and get a guided tour of the system, including updates since 2010. You’ll see how to:

Make a Note – Unit Liaison Program Management Change

Hello Unit Liaisons,

I am pleased to announce that on August 1, 2011, the UL Program will have a new home in the ITS Performance Support team, led by Laurel Barnes. As most of you know, I have been the interim UL program manager since the former UL program coordinator’s retirement in May 2010.

Laurel’s team of talented staff will make sure UL meetings continue as normally scheduled. They will keep you informed about important topics through emails and the web, and will facilitate changes to UL group membership without disruption to your unit. (Remember, any UL changes or questions should be directed to the ITS Service Center at 764-HELP.)

Most of this will happen behind the scenes, but here are a few changes you’ll notice:
• New meeting facilitators. I’ll attend as an audience member or as an occasional presenter.
• Emails about UL meetings and other pertinent UL topics will come from others in ITS.

On behalf of Laurel and me, thank you for your patience during this year of transition.

It’s been a pleasure to work with you, and I look forward to seeing at future meetings on the other side of the microphone!

Updated Project/Grant Financial Reports in M-Reports

To view the current financial status for your project/grants, access M-Reports on Wolverine Access http://wolverineaccess.umich.edu/reporting_secondary.jsp.

The navigation path is: University Business > Reporting > M-Reports. Once in M-Reports, click the appropriate tab(s), as follows, to view your reports:

-- If you are responsible for both sponsored research and non-sponsored projects, click the Research tab and toggle between the Sponsored P/G and UM-Funded/Gifts/Other P/Gs sub-tabs, as needed.
-- If you are responsible for only UM-Funded, Gift, or Other projects, click the Fin. Mgmt tab.

M-Reports provides:
-- Official balances, as of June 2011 business close.
-- Projected balances, recalculated daily to reflect recent activity and upcoming commitments (e.g., salary, financial aid, purchasing, departmental).
-- Links to underlying transaction details.

U-M now closes the Accounting Period on the fourth (4th) business day of the subsequent month.

Financial Aid Disbursement Calendar for Aid Year 2012 Available

The new "Financial Aid Disbursement Calendar for Aid Year 2012" is now available.

Select "2011-2012 Disbursement Calendar" from the bottom of the Financial Aid Forms and Instructions page at:
http://www.mais.umich.edu/student/faforms.html

The calendar includes charts for each Disbursement Plan, with the anticipated financial aid disbursement dates for the 2011-2012 academic year. Each date represents the earliest date on which funds can be disbursed. As in the past, the calendar indicates exceptions to award entry deadlines and funds delivery dates.

AWARD ENTRY NOTES:
-- It is important to review the calendar for changes to award entry deadlines, particularly if you enter monthly stipends.
-- If you enter awards for a specific Disbursement ID AFTER the disbursement date has passed, funds will be disbursed on the next weekly cycle.
-- Students will be able to view their anticipated (pending) aid before the actual disbursements occur.

M-Pathways Financials v9.1 Upgrade

ITS will upgrade the M-Pathways Financials and Physical Resources system to v.9.1 beginning on Thursday, August 4, at 5:00 p.m. through Tuesday, August 9, at 7:00 a.m. FINPROD will be unavailable during that time.

Training is not required, as the overall level of change for this upgrade is low.

 

eProcurement users: you will experience the most change, but user testing confirmed that the changes will quickly become familiar. For a demonstration of changes, register for the eProcurement Changes web conference on July 21 at 1:00 PM. Because virtual attendance is limited, a recording of the webinar will be available afterwards on the Fin 9.1 Upgrade Web site.

The MCommunity implementation, which is replacing the U-M Online Directory, is starting Thursday, July 14, at 5:00 p.m. and will continue until Monday, July 18 at 7:00 a.m. During this time, uniqname self-registration, assignment, and Kerberos password resets will be unavailable.

Removal of the PSOPRDEFN table for queries

A security change requires the removal of the PSOPRDEFN table used in public and private queries. The table is being removed because it contains a password value for each oprid in M-Pathways. A new view has been created (M_HE_OPRDEFN_VW) that includes the same fields as PSOPRDEFN, with the exception of this password field. Public queries that currently use PSOPRDEFN have been changed to use this new view.

If you have any private queries which reference the PSOPRDEFN table, these queries need to be changed to use the new view by August 3, 2011. The PSOPRDEFN table will be removed on this date, breaking any private queries still using the table. If you need assistance changing any private queries, please contact the ITS Service Center.

New! Online Study Abroad Program and Application Management System

Hello Student Unit Liaisons, M-Compass is U-M's new online study abroad program and application management system. It tracks and manages the student global experience life cycle, from initial interest to program alumni status. Currently, M-Compass administration is only available to the five participating units. ITS will work individually with other units over time to transition their international experience programs to M-Compass. If your unit is interested, or you would like more information, please complete this short survey and let us know!

What Do I Need to Know?

You may receive questions regarding the new system; the following information can assist you in answering any inquiries.

Important study abroad information applicable to all units/students is available on the M-Compass gateway page.

Anyone can search the M-Compass program inventory, but only UM-Ann Arbor students may apply to programs for which they are eligible. Students will apply to study abroad programs for travel beginning in the Winter Term 2012.

If your unit is not a participating unit, encourage your students to explore M-Compass to find other potential opportunities offered by the participating units.

Share a letter from U-M President Mary Sue Coleman about the new M-Compass system with the students in your department.

Your faculty may receive online requests for recommendations from M-Compass, which support student applications for study abroad opportunities.

If you would like more information, complete the survey and tell us how we can assist you.

Access and Training
M-Compass user groups (roles) are available in OARS. Only access requests received from the five participating units will be reviewed or approved for access at this time.

Online training courses for M-Compass will be available on My LINC in August 2011.

Tuition-Valued Awards Updated with Re-Budgeted Tuition Value

The Regents approved the actual tuition rates for the 2011-2012 academic year at their June meeting. This enabled the following tasks to be completed in M-Pathways:

-- Financial aid budgets have been updated with the actual tuition rates. The tuition component of each student's financial aid budget is calculated based on full-time attendance.

-- Tuition-valued awards that were entered prior to June 24, 2011, for Aid Year 2012, have been updated based on the new rates. A tuition-valued award has its amount calculated automatically based on the value in the “Calc Flag” field. Tuition-valued awards entered on or after June 24 were calculated automatically with the updated tuition rates.

-- Awards entered after August 10 will not appear as anticipated (pending) aid on students' accounts. Please communicate accordingly with your students. Anticipated aid is aid that students would receive if disbursement rules are met, and is intended to pay charges on students' accounts.

-- The first posting to students' accounts for actual tuition charges for Fall 2011 for most students will begin on August 5. It will be calculated nightly thereafter based on student enrollment activity.
