eResearch Proposal Management UM-Maintained Reports Updated

New fields and two new reports were recently added to the RS02 BusinessObjects Proposal Management universe in response to customer feedback. Refer to Dennis Cebulski's September 15 e-mail for details.

Subject: eRPM Repository Reports Update

As a person who has access to the RS02 Proposal Management data set in Business Objects, here is an update on available repository reports. These reports can be found in Business Objects under Public Folders, UM-Maintained, Research, RS02 Proposal Management.

New fields have been added to the RS02 Proposal Management data warehouse and all repository reports have been updated. These new fields enable us to link data from the various tables to give you the information you have requested. For example, one of the new fields, the Primary Project/Grant Number, adds the most recent project/grant number to the PAF award information and can be found on all Active Awards and Historical Awards reports. A description of new fields pertaining to a report can be found on the Notes page of the report.

Updated reports include:
-- Pending Proposals by Person
-- Historical Proposals by Person
-- Active Awards by Person
-- Historical Awards by Person
-- Active Commitments by Person (recently added to RS02 Proposal Management)

Also per your request, the following reports have been updated with the new fields mentioned above as well as updated to run from the Person Appt Department rather than the Proposal Admin Department. The Person Appt Department is the department of appointment selected on the PAF for Principal and/or Participating Investigators. For your convenience, the Proposal Admin Department and related School/College continue to be included in all reports.

Two new reports have been added to the repository to assist you with gathering information on collaborating investigators.

Adds the Principal Investigator if not from your department and all Participating Investigators.

In addition to these two reports, new reports will soon be available that will contain data for outstanding proposals.

While these reports have been carefully constructed and tested there still remains some data issues that occasionally arise, you are strongly encouraged to notify us should you come across data that appears to be inconsistent with expected results.

I would like to acknowledge the efforts of Kate Strzempek of DRDA and Vasudha Ramani of MAIS who have partnered in developing and testing these queries.

Additional reports will be added over the next month. Information on RS02 Proposal Management data set on-line and classroom training will be announced before the end of September.

What's New in eResearch Proposal Management, August 17, 2009

In response to requests from the research community and DRDA, the eRPM team has made many improvements to the eRPM system.

Effective August 17, you will notice some changes. These changes will not significantly impact how you work with the system, but will clarify or improve some processes.

Biggest Changes:
-- Finalize proposal documents in eResearch changes.
-- Relate PAFs in eRPM.
-- New cloning types & rules.
-- Comments required when requesting or submitting PAF changes.

ePAF To Be Retired at End of June 2009

Over the last three months, most University units have adopted the use of the web-based eResearch Proposal Managment (eRPM) system for creating Proposal Approvals Forms, or PAFs, and subsequent routing for approvals. The time has come to retire the paper process for proposal approvals at the University of Michigan.

eRPM REQUIRED 7/1/2009

At the end of the day on June 30, 2009, the ePAF will no longer be available. From that time forward, new proposal approvals and routing will need to be completed in the eRPM system.

TIMELINE

1) The current ePAF option to create paper PAFs, will be retired at the end of the day on June 30. Access to the site will be eliminated by DRDA, as will access to that cache of old ePAFs.
2) All PAFs initiated on or after July 1, must be created in eRPM.
3) PAFs initiated in paper form before June 30, 2009 will be honored and processed by DRDA through the end of July.
4) No paper PAFs will be accepted by DRDA, effective Monday, August 3, 2009.

ELIMINATION OF DRDA DROP BOX

A related change will be the concurrent elimination of the DRDA Drop Box to upload final, completed Grants.gov packages to DRDA for submission.

The new eRPM PAF includes the capability of attaching thta final proposal or completing it within the system.

RESEARCH UNIT LIAISON & UNIT INVOLVEMENT IN DECISION

We have conferred with the Research Unit Liaisons on this timeline and they agree that the University is ready for this step. Many units already require eRPM use. Others are using the system, though its use has not been prescribed. Still others plan to retire use by July 1.

Six eRPM BusinessObjects UM-Maintained Reports Available

The proposal administrative department will default to the department of the appointment of the PI selected on the PAF or the PI can choose another proposal administrative department. Since any department can serve as the proposal administrative department, the proposal administrative department may not reflect the administrative or appointing department of the PI or any of the personnel entered on the PAF.

All school/college(s) information in the repository queries above refers to the school/college(s) of the proposal administrative department.

New PAF Course Available Online

PRISM Data Set Conversion Update

The PRISM to eResearch conversion took place during the Holiday Break. Although some of the converted data set is available, the repository queries are not yet available. Further there are some technical issues with the data that are still being resolved. I recommended you not use the data set until all issues are resolved. The MAIS and DRDA team are working together intensely to resolve the outstanding issues in a timely manner.

I am happy to report that Sponsored Awards on the Web (SAW) renamed from PRISM On The Web (POW) is available at the following link: http://cgi.research.umich.edu/saw/saw.lasso
The data (awards only) is updated through December 24, 2008. Awards processed since that time may not appear until the end of the week. Again staff are working diligently to update data ASAP.

Your patience is appreciated as these data issues are resolved. Please be assured our top priority is the processing of proposals and awards which are fully functional.

Proposal Management Update

In early November I provided an update on the implementation of the eResearch Proposal Management System. Since that note a number of pilot proposal packages have been successfully created and routed in the system and the data migration from PRISM to eRPM has been completed. So far, so good!

Here is our current status and near-term plan:

January and February (continuation of Pilot Phase):
- Investigators send paper PAFs to DRDA, except
- Pilot users (they know who they are) enter select new proposal packages into the eRPM system
- DRDA will enter all paper PAF/proposal packages into the eRPM system
- DRDA will prepare all award notifications – PANs and PACs – using eRPM
- All award notifications will be sent to investigators and campus administrators from the eRPM system, with only minor changes in appearance. All investigators and administrators will access their award documents in eRPM (more below)
- The PRISM data set will be retired, with all data transferring into the eRPM data set. More information at: http://www.research.umich.edu/proposals/prism/prism.html

March (Full Release):
- All Investigators will have the option of entering and routing proposal packages in the eRPM system

More on Award Notifications:
- The distribution of award information from the eRPM system prompts a special request: If you have junk or spam e-mail filters, please add eresearch@umich.edu to your address book/contacts or safe/trusted senders lists. This will ensure your timely receipt of relevant award information from DRDA.

- One change some of you will experience shortly is that Project Award Notice/Change (PAN and PAC) information will be sent as text in the e-mail, rather than as an attachment. Links into the eRPM system will be included in the e-mail to provide access to the actual grant and contract documents.

Lastly:
As of this morning, all DRDA staff began operating in the new system. Though we have been preparing for this transition for some time, simulation cannot fully prepare staff for actual use. Over the next few weeks there may be slight delays in award processing by DRDA and award information flow to the campus community. Perhaps this transition will not be evident to many of you - so much the better. Regardless, in the interim I ask for your patience with our internal implementation. Be assured no proposals or awards will be at risk.

PRISM Retirement & Replacement Coming in January

PRISM will be retired and replaced with an eResearch Proposal Management data set in January 2009. For most who use PRISM via the web or run predefined reports, this transition should be very minor. Stay tuned for descriptions of updated and new predefined reports. Users who work closely with the DRDA to meet their reporting needs will be invited to training sessions to learn how to work with the new data set.

eResearch Proposal Management Preview:

Preview the next eResearch Web-based system, Proposal Management. eResearch Proposal Management (eRPM) is being developed to accommodate the electronic routing, approval, and submission of funding proposals to external sponsors, including Grants.gov. This session will provide a high-level overview of the new eRPM system. Specifically, it will demonstrate basic system navigation, discuss key system features (for example, Proposal Approval Form creation, Grants.gov forms, cloning), and share resources for the system implementation.

Proposal Management Pilot

Proposal Management system pilot begins in November 2008 to prepare for the all campus release in March 2009. The pilot will include 20-25 proposals from a variety of project types and units.
