<![CDATA[<p>Hello PERC Staff Volunteers:</p>

<p>As you are aware, the Families Facing Cancer program was launched earlier this month.  I have realized that I failed to instruct you as to the procedure changes for opening and closing the PERC as a result of this new program!</p>

<p>As part of the <em>Opening</em> procedures, the morning volunteers should set up the display on the lateral file.  This includes the box with the bead books, the picture frame and doily, the additional bead box, the plastic small plastic envelopes for additional bead selections and the sample necklace.</p>

<p>When you are <em>Closing</em> the PERC, please place the picture frame and doily, the bead box and the small plastic envelopes along with the sample necklace in the lateral file.  These items may be placed on top of the laptops that are in the plastic bags.  The box with the additional bead books should be placed on the middle shelf of the (long) middle book shelf, behind the books.</p>

<p>Hello Volunteers:</p>

<p>I am excited to tell you that the Wi-Fi Guest Network sign-in process has been simplified!  No longer are users being routed to the long yellow sheet where they are asked for a name and an email address; instead, they are redirected to a much shorter "Disclaimer" where they only need to click on (or Tap for iPads) <strong>ACCEPT</strong> to be logged in to the wireless network. </p>

<p>Also, I have created an insert to be given to patrons borrowing our iPads.  This "tip" sheet will instruct the patron how to re-set the Wi-Fi if the connection is lost.  When you are logging patrons onto the wireless, please share the information on this insert with them. </p>

<p>I have noticed that patrons often return to the PERC with the device when the device "times out" of Wi-Fi. This explains how to get to the <strong>Settings icon </strong>and from there how to make the connection to the appropriate wireless network <strong>(MGuest-UMHS).</strong></p>

<p>I will make the appropriate changes to the laptop "tip" sheet.  If you have any questions on this change, please let me know.  Thanks again for all your help.</p>

<![CDATA[<p>Hand in Hand Beads, a very important piece of the program, will be located in the PERC.  To learn more about this portion of the program, please click on the following link:  <a href="http://www.cancer.med.umich.edu/support/hand-in-hand.shtml">http://www.cancer.med.umich.edu/support/hand-in-hand.shtml</a>.  </p>

<p>The launch date for the <em><strong>Families Facing Cancer resource kit and Hand in Hand Beads is <em><strong>Monday, November 5, 2012.</strong></em> </strong></em>  Although some of the information for the <em>Families Facing Cancer</em> program has been delivered to the PERC, <em><strong><em><strong>we will not </strong></em>be giving any kits or bead books out before November 5</strong></em>.</p>

<p>During the launch week, <strong>Sheila Morris, Program Coordinator for Families Facing Cancer,</strong> will be in the PERC to meet with volunteers during their shift; Sheila will explain in greater detail the program and the role our PERC volunteers will play.</p>

<p>Until Monday, November 5, continue to offer to those requesting information on talking to children the information currently on hand in the PERC:  <strong>When Your Parent has Cancer: A Guide for Teens</strong> (ACS), <strong>It Helps to Have Friends when Mom or Dad has Cancer</strong> (ACS), <strong>Talking with Children about a Loved One's Cancer</strong> (CancerCare) and <strong>Talking with My Tree House Friends about Cancer</strong>.  </p>

<p>The Patient and Family Support Services Complementary Therapies Program in conjunction with the Duderstadt Center, is sponsoring a 4-day workshop for cancer center patients and survivors, Digital Storytelling.  </p>

<p>The workshop sessions are being held on Friday, November 2, 9, and 16, with the final session held on Monday, November 26; all sessions run from 9:30am - 1:30pm.  Facilitators of the workshop are Legacy Therapist, Sibel Ozer, and Media Specialist, Ryan Wilcox.</p>

<p>Fliers with additional information are located outside the PERC for interested patients and survivors to take.  I have also posted a flier on the PERC bulletin board.  Please take a few moments during your shift to familiarize yourself with this upcoming workshop.  </p>

<p>If any of you volunteers are interested in digital storytelling, the same workshop will be offered to Cancer Center faculty, staff and volunteers in December.  <em><strong>The workshop for faculty, staff and volunteers is held in three sessions </strong></em>as opposed to the four sessions for patients and survivors.  Please email me know if you are interested and I will send you the flier with the dates of the workshop for faculty, staff and volunteers.</p>

<p>Should a visitor to the PERC become ill or if someone comes to the PERC to request medical assistance, <em><strong>please call 911 using the staff phone</strong></em>.  Dialing 911 on an internal phone will connect you to the Medical Emergency Response Center located on the medical campus.</p>

<p>The 911 operator will ask your location and the reason for calling.  A medical responder as well as a security officer will both be dispatched to the location requested.  </p>

<p>If you have any questions, please let me know.  Hopefully you will not need to use this information, however, if a medical emergency occurs, you should not hesitate to call 911.  </p>

<p>There seems to be some confusion regarding the checkout process for both the laptops and the iPads.  You should be turning the device ON and connecting to the Wi-Fi when patrons are checking out a device.  </p>

<p>If you have not been doing this for patrons, please add this step to the checkout process.  Please let me know if you are unsure how to turn a device on and/or have questions regarding the Wi-Fi connection process, and I will be available to assist you.  </p>

<p>I want to thank you for all your help and patience as we added the iPads to our Sight and Sound Program.  You have all been very patient with me as I explained the new procedures, which seem to be constantly changing! THANK YOU!<br />

<![CDATA[<p>Now I need to ask your assistance once more.  Because the instruction sheet explaining how to turn on the iPad and connect to the wireless network is incorrect, I am asking you to perform these steps for the borrower. (I am redoing the instruction sheet.) </p>

<p>If you are not completely comfortable with turning on the iPads and/or connecting to the Wi-Fi, please let me know.  I will be glad to work with you until you feel comfortable with this step.  </p>

<p>The iPads usually go directly to the "sign in screen" once Safari is tapped.  However, sometimes this is not the case.  In instances when you tap Safari and the "log in" screen does not automatically appear, go to the the "Settings" icon and check on the left side for Wi-Fi.  If it is not on, press the Off> to turn on Wi-Fi and select the Guest network.  This should route you directly to the "sign in screen".  </p>

<p>If you are still having problems, you can turn off the iPad completely, wait a few seconds and then turn it back on.  You can also try another device.  Remember, the Wi-Fi can be finicky, so do the best you can -- as you always do!  </p>

<p>We have had a lot of changes lately, so if you have any questions on anything discussed in this entry, please do not hesitate to let me know. I will do my best to clarify any procedures that might be confusing.  </p>

<p>Hello Volunteers:</p>

<p>Recently Apple released new software, iOS6.  As a result of this software update, the You Tube icon has disappeared. If Apple releases a fix for this glitch, I will let you know.  In the meantime, you will only see four icons at the bottom of the iPad screen for now:  Facebook, Maps, Safari and Skype.</p>

<p>In addition, they released a new icon for the clock.  This icon should be placed in the <em><strong>"Staff Only"</strong></em> folder.  </p>

<p>I will make these changes in the iPad desk manual, but wanted you to be aware of them as soon as possible.  Please don't hesistate to contact me if you have any questions.</p>

<p>Hello Volunteers:</p>

<p>A few weeks ago Mary McCully contacted you regarding comment cards being placed throughout the Cancer Center for visitors to provide feedback regarding our Volunteer Programs.  A supply of these cards is located on the PERC staff desk.  </p>

<p>When you interact with visitors during your shift, please offer them a chance to comment on their interactions with you or other volunteers they may have spoken with during their visit.  </p>

<p><em><strong>Please use your judgment as to whether it’s an appropriate time to hand a card to a patient or not.</strong></em>  Let them know their feedback will assist us in making improvements in our service and that we appreciate their time.  </p>

<p>When offering the card, let the visitor know that they can complete the card at their convenience; they can either drop it in the mail or return it to the drop box located at the Cancer Center Courtesy Desk. </p>

<p>Hello Volunteers:</p>

<p>As was done in the past, UMHS has joined with dozens of other health care institutions nationwide in requiring influenza (flu) vaccination or protective mask use during flu season.  </p>

<p>This means that everyone who volunteers at the health system must receive a flu vaccine by December 1, or will be required to wear a surgical or isolation mask for all face-to-face patient interactions or when entering patient rooms during flu season, which typically lasts several months.</p>

<p>Those of you who will be getting the shot, you must show your UMHS blue registration card at the time you get your shot.  Also, please ask/remind the person giving you the shot that you will need the 2012 sticker showing proof that you received the shot. <p>Remember, it is up to us to ensure that we prevent the spread of flu from those who work and volunteer here to those who place themselves in our care.  </p>

<p>I want to let you know about MiChart, an electronic health record system, purchased from Epic Systems Corporation, that will change how UMHC staff create and access clinical information to care for patients, conduct clinical research, and secure payment across UMHS. </p>

<p>An important phase of this multi-year implementation, <strong>MyUofMHealth.org</strong>, an online patient portal, will go-live on Wednesday, August 15.</p>

<p>Patients may visit the PERC and inquire about this new online resource which will allow them to take a more active role in their health care.  By signing up for the <strong><a href="https://www.myuofmhealth.org/MyChart-PRD/default.asp?mode=stdfile&option=UMTermsandConditions">MyUofMHealth.org</a></strong>, patients will be connected to a secure, online health connection enabling them to schedule appointments, request prescription renewals, review health history, view immunization records and even send secure messages to their health team.  </p>]]>
<![CDATA[<p>A marketing program announcing this important new electronic health record system will be launched in September.  In the meantime, patients who come to the PERC inquiring about the patient portal may be given the MyUofMHealth.org website to learn more and to sign up.</p>

<p>I encourage you to click on the <a href="Becoming comfortable with Epic and MiChart will take time, and I know that the next few weeks may present challenges">MyUofMHealth.org</a> link to learn more in anticipation of patient inquiries.  From this MyUofMHealth.org link you will be able to access additional information including FAQs, the Privacy Policy and the Terms and Conditions related to the patient portal.  </p>

<p>Because of the "go-live" launch, there may be some initial delays and confusion as staff become comfortable with Epic and MiChart.  This may be a great time to offer an iPad for checkout to PERC visitors who may be experiencing longer than ususal wait times!  </p>

<p>Please let me know if you have any questions regarding MiChart. This has been a very busy year for the PERC with the launch of the iPads and now with the UMHS launch of MiChart we have even more changes.  </p>

<p>Hello Volunteers:</p>

<p>We officially began loaning iPads to our patrons in the out-patient areas on August 1, 2012! For those of you who have never used an iPad, I encourage you to play with it during your volunteer shift, as time allows.  </p>

<p>The procedures for loaning the iPads are very similar to how we loan laptops.  A PowerPoint presentation has been created that explains in more detail what is involved in loaning out these new devices.  </p>

<p>I have left several copies of the document on the staff desk for your use.  Please do not hesitate to make comments or suggest changes where I may not have clearly explained procedures.  Once everyone has had a chance to work with the iPads, use the instruction guide, and give me your comments, I will update the PERC Intranet with the iPad information.</p>

<p>Please know how very appreciative I am of your patience and commitment as we contine to increase our collection for patients and their families.  Your are a very special group of volunteers; your ability to accept and learn whatever new device is added to our Sight and Sound Program is incredible. </p>

<p>Hello Volunteers:</p>

<p>I wanted to let you know about some changes to the log-in process for the MGuest wireless network.  First, I learned that Internet Explorer 9 is not supported. When using IE9, devices will connect, however, they will be redirected back to the login page and not the home page.  </p>

<p>As a result, please choose a browser other than Internet Explorer.  Do this by clicking on the Globe in the lower left corner of the screen and selecting a browser from the list.  I have found that Mozilla Firefox works well.</p>

<p>After opening the browser, the MGuest welcome page will appear.  This is the yellow sheet with the heading <strong>Mott Family Network</strong>; it has been revised and is now only one page.  </p>

<p>Once a name and email address have been entered and the "agree to the terms and conditions" <strong>ACCEPT</strong> button is clicked, a box will appear that applies to faculty, staff and students only; click <strong>OK</strong> to close the box.  Click again on the <strong>ACCEPT</strong> button to be redirected to the appropriate home page.  (For borrowed devices, this would be the UMHS home page.)</p>

<p>I have revised the <strong>Using the MFN Laptop</strong> sheet to reflect these changes.  Please do not hesitate to let me know if you have any questions or encounter any problems.  I am sure that after performing these new steps once or twice, you will be pleased with this much simpler and faster log-in process!</p>
